Twelve Technologies, Explained So Anyone Can Understand Them
No jargon. No acronyms left hanging. No assumption that you already know what an "API" is.
How to Read This Chapter
My mother is eighty-one. She kept the books for a small business for thirty years, in pencil, and she was never wrong. She also does not know what "the cloud" is, and she is faintly embarrassed about that.
She should not be. Nobody explained it to her. The technology industry has spent thirty years naming things badly and then treating people as slow for not understanding names that were never designed to be understood.
So this chapter is written the way I would explain each of these to her at her kitchen table, and every entry answers the same four questions:
- What is it, in one sentence?
- Why does it exist — what went wrong that made someone invent this?
- What does it replace in your current routine?
- What does it cost you, in dollars and in minutes?
Then one more line I have added, because it is the question you actually want answered: the verdict. Do you need this, and at what size?
Five of the twelve appeared briefly in earlier chapters. Here they get the full treatment, with the parts I held back. You do not need to read this chapter in order, and you are not expected to adopt everything in it. This is a reference. Use it like one.
One thing to hold on to as you read. Every technology below does exactly one of two jobs:
It either moves a step out of your memory and into a record — or it checks a claim against a source the other person cannot edit.
That is it. That is the entire modern rental stack. Twelve tools, two jobs. Once you see that, none of this is intimidating, and you can evaluate any product a salesperson ever pitches you by asking which of the two it does.
Group One: Proving People Are Real
Four technologies serve the Identify pillar. They answer, in different ways, the question from Chapter 4: are we real?
Document Validation
IdentifyLow costSoftware that checks whether a piece of identification is genuine — reading the security features, the machine-readable strip, and the internal consistency of the data, rather than looking at whether it seems right.
Because a driver's licence contains a dozen security elements that no human can assess by eye across a kitchen counter — microprinting, layered images, encoded data that must match the printed data. A modern forgery is made to survive a human glance. It is not made to survive a machine read, because the forger cannot reproduce what they cannot see either.
Holding a card up to the light. Photocopying it "for the file." Writing the number down and trusting that the number belongs to someone.
Usually a few dollars per check, often bundled into a screening product. About ninety seconds, done on the applicant's own phone.
Biometrics and Face Matching
IdentifyMeasuring something physical about a person — most often the geometry of a face — and comparing it to a reference, such as the photograph on their identification.
Because "does this photo look like this person" is a task humans are genuinely poor at, particularly across age, weight change, hairstyle, and unfamiliar faces. There is a well-documented tendency to be worse at distinguishing faces of people from backgrounds unlike our own, which makes eyeball matching not only unreliable but quietly biased.
Glancing between a card and a face and deciding it is probably fine.
Rarely purchased alone; it is a component inside an identity check. Included in the few dollars from Technology One.
Liveness Detection
IdentifyIntroduced in Chapter 4A check confirming that a real, living person is present in front of the camera right now — not a photograph, a screen recording, a mask, or a generated face.
Because face matching alone was defeated the moment everyone had photographs online. A system that only asks "does this face match the identification" can be beaten by holding up a printed photo.
The reason this matters far more now than it did five years ago is that convincing video of a person who does not exist can be produced by anyone. Liveness is the specific defence against that, and it works by requiring evidence a recording cannot supply — subtle involuntary motion, depth, blood-flow colour changes in skin, or a response to an instruction issued at random in the moment.
The assumption that a video call proves a person is real. It no longer does.
A few dollars, bundled with document validation. About one minute for the applicant, usually with no app to install.
Land Title Search
IdentifyIntroduced in Chapter 2A government register, maintained by every province and territory, recording who legally owns each piece of land — and open to the public.
Because ownership disputes were once settled by whoever produced the most convincing paper. The registry replaced "believable documents" with "one authoritative source," which is the same shift this entire book applies to people.
Here is the part I held back in Chapter 2. Its most valuable use is not proving your ownership to a nervous tenant. It is checking an applicant's claimed previous landlord. A fraudster controls the name and phone number written on the form. They do not control the registry — so comparing the two, and then making contact through details you sourced yourself, defeats the fake-reference scheme entirely. It is the cheapest counter-fraud measure available to a Canadian landlord.
Taking someone's word about who owns a property, on either side of the transaction.
Typically a few dollars to around twenty per search depending on the province and product. Some basic searches are free. Minutes.
Group Two: Verifying What People Claim
Three technologies serve the Data pillar and the second rule: never verify a document, always verify a source.
Open Banking
DataIntroduced in Chapter 5A secure way for someone to give you permission to see specific information from their bank — read-only, for a limited time — without handing over a password or sending a document.
Because the old method was bad for everyone. The applicant emails documents that can be altered in minutes; you receive proof you cannot verify. Open banking replaces "send me proof" with "authorize me to see the fact," and the bank answers rather than the applicant.
What I did not say in Chapter 5: this is no longer a fringe idea. Canada has been building the legislative framework for consumer-directed banking, and as it lands, verified financial data becomes portable by default. The screening industry will be rebuilt on top of it. A landlord who understands this early has a several-year advantage.
Pay stubs, bank statement PDFs, screenshots of balances, and the awkward call to an employer. In their place you see the pattern — deposits, regularity, and existing housing payments going out.
A few dollars per applicant through a screening service. About two minutes of the applicant's time.
Credit Bureau Connections
DataAssessA direct link to Equifax or TransUnion that returns an applicant's credit file to you, with their consent, rather than relying on a copy they provide.
Because a credit report supplied by the applicant is a document, and documents can be edited. A report pulled directly, with consent, comes from the source.
A printed report the applicant brings you. A screenshot of an app. A number they tell you.
Generally in the range of twenty to fifty dollars per applicant through a screening service, sometimes passed to the applicant where provincial rules permit. Minutes.
Document Forensics and OCR
DataTwo things that usually arrive together. OCR — optical character recognition — is software that reads the text in an image or PDF so a computer can work with it. Document forensics examines the file itself for signs of tampering.
Because a PDF is not a document. It is a picture of a document, and editing one takes no skill. But altering a file leaves traces: fonts that do not match the rest of the page, text sitting at a slightly different alignment, editing software recorded in the file's hidden properties, deduction arithmetic that does not add up.
A forger optimizes for how it looks. Forensics examines what it is made of.
Squinting at a pay stub and deciding it seems fine. It also removes retyping — OCR pulls the figures out so they can be compared automatically against a bank record.

Group Three: Making the Record Hold
Three technologies serve Data and Engage. None of them verify anything. They all do the other job — moving a step out of memory and into a record.
Cloud Storage
DataOften freeKeeping your files on a company's computers instead of your own, reachable from any device you sign into.
Originally for convenience and backup. For a landlord, the valuable property is different and almost nobody mentions it: these systems record when a file was created and every time it was changed. That turns an ordinary document into dated evidence, for free.
A photograph on your phone can be undated and could have been taken any time. The same photograph in a cloud folder carries an upload date the service recorded, not one you typed.
The shoebox. The filing cabinet at the other property. Forty-one photographs on a phone that was replaced last year.
Free at the volumes a landlord needs. A few dollars monthly for large amounts.
Timestamping and Audit Logs
DataEngageA record of what happened, when, and who did it — kept automatically, and in a proper system, unchangeable after the fact.
Because a record you could have edited yesterday proves less than one you could not. The strength of evidence depends on whether it could have been arranged afterwards.
This is why "amend, don't overwrite" mattered in Chapter 5. A file showing an entry was corrected on a certain date, with the original visible, is more credible than a clean file with no history — because the clean one might have been tidied last night.
"I'm sure I sent that in March." Reconstructing a sequence from three inboxes and a memory.
Nothing, if you use tools that do it automatically — email, cloud drives, and messaging all timestamp by default. A feature of management software at the scaled end.
Electronic Signatures
EngageLeaseSigning a document digitally, with the service recording who signed, when, from where, and that the document was not altered afterwards.
To let agreements be completed by people who are not in the same room — and, less obviously, to produce better evidence than ink. A wet signature proves someone wrote their name. It does not prove which version they saw, or when.
Printing, meeting, scanning, and the question of whether the copy in your drawer matches the copy in theirs.
Free tiers cover a handful of documents monthly. Roughly fifteen to thirty dollars a month for regular use. Minutes.
Group Four: Judgement, Language, and Reward
Translation Tools
EngageOften freeSoftware that converts text or speech between languages, now good enough for ordinary business communication in most common language pairs.
Obvious enough. What is less obvious is what it does for a landlord in a country where a large share of renters arrived recently.
Remember Ahmed from Chapter 6, who reads English well but misses instructions on a fast phone call. Translation is not primarily about applicants who speak no English. It is about the far larger group who understand written English perfectly and lose meaning in rapid speech — and who, given something written, will act on it correctly every time.
Losing good applicants over a misunderstood sentence. Adult children pressed into interpreting for their parents' tenancy.
Free for practical purposes.
AI Screening Assistants
AssessIntroduced in Chapter 7Software that reads application material and produces a summary, a flag, or a score to help you decide faster.
Because fifty files genuinely is too many for careful human review, and the market responded with automation.
Three things. Summarize a long file into a structured overview. Flag contradictions — an address that differs between documents, an impossible date, an employer spelled two ways. Check completeness before you waste time.
What it must never do is make the decision, or produce a score you cannot explain. If a tool says "high risk" and you cannot name which neutral criterion and which evidence produced that, you have not automated your judgement — you have outsourced your liability.
Increasingly bundled into screening, often a few dollars per application. The real cost is the temptation to stop thinking.
Rent Reporting
LeaseIntroduced in Chapter 8A service that records a tenant's rent payments and reports them to a credit bureau, so they appear on the credit file the way a loan or card would.
Because someone who borrows money and repays it builds a credit history, while someone who pays rent on time for six years builds nothing. Two people with identical reliability, and only one can prove it.
Nothing — and that is the point. It captures value that was previously discarded.
Varies; often a modest monthly fee per unit, sometimes charged to the tenant, sometimes bundled.
Twelve, plus one. And you will have noticed something about that list.
Four of them are free. Cloud storage, timestamping, translation, and the land title registry in some provinces. Two more cost a few dollars per applicant. Only e-signature and management software carry an ongoing monthly cost, and both are optional below a handful of units.
The gap between a landlord operating in 1985 and one operating in 2026 is not money. It never was.
What You Actually Need
Now the answer to the question you have been holding since page one of this chapter.
For a landlord with one basement suite, the honest total is free tools plus roughly thirty to sixty dollars per applicant you seriously consider, and you will consider two or three. Against one month of vacancy at $2,200, this is not a spending decision. It is arithmetic.
Skip anything that produces a score you cannot trace to a criterion. Skip a $400-per-month platform for one unit — you are buying features designed for a fifty-door operator. Skip any product whose main pitch is speed, because Chapter 6 explained what speed costs you. And skip anything that asks you to collect more personal data than the decision needs: an oversized file of identity documents is a liability, not an asset.

If a salesperson uses a word that is not on this list and cannot explain it in one sentence, that is information about the salesperson.
Fourteen terms. That is the entire vocabulary required to hold your own in any conversation about rental technology in Canada, and you now have it.
Chapter Nine Checklist
- Set up cloud storage today if you have not. This is the free one that changes the most.
- Find and bookmark your provincial land title service. Run one search on a property you own so you know what a normal result looks like.
- Choose one screening provider that includes document validation, liveness, and bank-verified income in a single check. One provider, not four.
- Ask that provider the three questions: which bureau, what does the decision output look like, and can I see the audit trail?
- Adopt the timestamp habit: email yourself dated notes, or keep the tenancy file in a cloud document. Free.
- Decide your e-signature position and confirm electronic signatures are accepted for tenancy documents in your province.
- Offer rent reporting, with honest explanation and written consent.
- Apply the two-jobs test to anything you are pitched: does this move a step into a record, or check a claim against a source? If neither, it is decoration.
- Refuse any tool that gives you a conclusion you cannot explain.
- Review what personal data each tool stores and for how long. Prefer providers that verify and discard over those that warehouse.
Not one of these technologies is clever. Every single one exists because a human being was asked to do something humans cannot reliably do.
Look back at what they actually replace. Judging a security feature by eye. Comparing two faces. Remembering what was agreed on a call in April. Recognizing an altered file. Knowing whether a stranger owns a building. Reading someone's true financial pattern from a document they printed themselves.
Nobody can do those things. Not you, not me, not a landlord with forty years of experience and excellent instincts. The tools are not an insult to your judgement. They are a correction to a job description that was never realistic.
And notice what none of them do. Not one decides who deserves housing. Not one replaces your knowledge of your property, your neighbourhood, or what makes a tenancy work on your street. The judgement stays yours. What changes is that it finally rests on facts instead of impressions.
I want to say one more thing to the reader I had most in mind while writing this chapter — the landlord in their seventies or eighties who has been quietly worried that this book would eventually leave them behind.
It does not. Four of these are free and three of those you are already using without knowing it. The most valuable habit in the entire chapter is emailing yourself a dated note, which you could do this afternoon. Your paper ledger was never the problem. The problem was that nothing in it could be shown to anyone else, and that is fixed with a cloud folder and thirty seconds.
You do not have to become a technical person. You have to become a person whose steps can be demonstrated. Those are very different requests, and only one of them is hard.
So now you know what each piece does. The remaining question is the one that has quietly caused more waste than any fraudster: how do these fit together, and how do you avoid ending up with twelve apps that do not speak to one another?
